Notes and memory
Notes in the sidebar holds two notebooks:
- Your notes: quick notes you write for yourself.
- Agent notes: the memory your agents keep about your work.
Both belong to you, not to a space. Nobody else in the workspace can see them, workspace admins included.
Your notes
Section titled “Your notes”To add a note, open Notes and click the Take a note… box at the top, or choose New Note in the command menu. Write the note, add a Title if you like, pick a color, then click Add note. Escape or a click outside also saves it.
You edit a note right on its card; changes save as you type. A note can hold headings, lists, checklists, tables, links and images. Markdown shortcuts, such as # for a heading or - for a list, convert as you type. Type @ to mention a doc, task, row or person.
Hover a card for its actions:
- Pin keeps the note at the top, under Pinned. Unpin puts it back with the others.
- Color changes the card’s color.
- Archive hides the note. Click Archived at the top of the page to see archived notes, and Unarchive to bring one back.
- Delete removes the note at once. Press ⌘Z to undo.
Notes are sorted by when they last changed, newest first. Search with ⌘K to find a note by its title or opening words.
Agents can read and write your notes, for example when you say “add this to my notes” or ask “what did I note about the launch?”. An agent sees a note only when it looks it up; your notes aren’t handed to every thread.
Agent memory
Section titled “Agent memory”Agent memory is the Agent notes tab: what your agents have learned about your work, such as your projects, preferences and the people you work with. Every agent that works for you in this workspace shares it, in any space and on any of your Macs. It’s kept apart from your own notes.
How agents use it:
- When a thread starts, the agent gets the titles of your agent notes, newest first. It reads a note in full when it bears on what you asked.
- Agents save what’s worth keeping, one memory per topic. They update a memory when things change and archive one that’s no longer true.
- If the titles grow too many, only the newest reach new threads, and agents are asked to merge and archive old ones.
You can manage memory yourself in Notes > Agent notes:
- Click Add something your agents should remember… to write a memory. Give it a clear title: agents find memories by their titles.
- Edit any memory on its card to correct it.
- Archive a memory to take it out of what new threads see. Archived shows archived memories.
- Delete removes a memory for good. Press ⌘Z to undo.
Agent notes can’t be pinned, and they don’t show in ⌘K search.
AI instructions
Section titled “AI instructions”Instructions are rules you write for how AI should work. Agents read them but can’t change them. There are three kinds, and an agent gets all that apply:
- Personal instructions, in Settings > General under Personal: how AI should work with you. They apply to all your threads and routines in this workspace, and only you can see them.
- AI instructions for the workspace, in Settings > General under Workspace: shared conventions for everyone. All members can read them; only workspace admins can edit them.
- AI instructions for a space, in the space’s settings (the gear beside the space in the sidebar): how AI should work in that space.
Space instructions refine the workspace’s, and your personal instructions take precedence over both. Click Save instructions to save a change. It applies from the next turn of each thread or routine.
Instructions are what you decide in advance. Memory is what agents pick up as they work, and you can review and edit it at any time.
